Cosmetique Totale cares a lot about your privacy. Therefore, we only process data that we need for (improving) our services and handle the information we have collected about you and your use of our services with care. We never make your data available to third parties for commercial purposes. This privacy policy applies to the use of the website and the services offered by Cosmetique Totale. The effective date for the validity of these terms is 30/10/2021; with the publication of a new version, the validity of all previous versions ceases. This privacy policy describes what data about you is collected by us, what this data is used for, and with whom and under what conditions this data may be shared with third parties. We also explain to you how we store your data and how we protect your data against misuse, as well as what rights you have regarding the personal data you have provided to us. About data processing

Below you can read how we process your data, where we (let) store it, which security techniques we use, and for whom the data is accessible. Online store software MyOnlineStore Our online store is developed with software from MyOnlineStore. Personal data that you provide to us for our services is shared with this party. MyOnlineStore has access to your data to provide us with (technical) support, they will never use your data for any other purpose. MyOnlineStore is obligated to take appropriate security measures based on the agreement we have with them. MyOnlineStore uses cookies to collect technical information regarding your use of the software, no personal data is collected and/or stored.

Email and mailing lists

Ternair

Our website makes use of Ternair, a third party that handles the email traffic originating from our website and the sending of any newsletters. All confirmation emails you receive from our website and web forms are sent via the servers of Ternair.

Ternair will never use your name and email address for our own purposes. At the bottom of every email that is automatically sent via our website, you will see the 'unsubscribe' link. If you click on this, you will no longer receive emails from our website. This may severely reduce the functionality of our website! Your personal data will be Ternair securely stored.

Ternair uses cookies and other internet technologies that provide insight into whether emails are opened and read. 

Ternair reserves the right to use your data to further improve the service and in that context share information with third parties.

Office365

We use the services of Office365 for our regular business email communication. This party has taken appropriate technical and organizational measures to prevent abuse, loss, and corruption of your and our data as much as possible. Office365 does not have access to our mailbox and we treat all our email communication confidentially.

Payment processors

Mollie

For processing (part of) the payments in our online store, we use the platform of Mollie. Mollie processes your name, address, and residence details, as well as your payment information such as your bank account or credit card number. Mollie has taken appropriate technical and organizational measures to protect your personal data. Mollie reserves the right to use your data to further improve the service and, in this context, share (anonymized) data with third parties. All the aforementioned safeguards regarding the protection of your personal data also apply to the parts of Mollie's service for which they engage third parties. Mollie does not retain your data longer than permitted by legal terms.

Shipping and logistics

PostNL

When you place an order with us, it is our responsibility to have your package delivered to you. We use the services of PostNL to carry out the deliveries. It is necessary for us to share your name, address, and residence details with PostNL. PostNL uses this information solely for the purpose of executing the agreement. In the event that PostNL engages subcontractors, PostNL will also make your data available to these parties.

Factoring and accounting Exact Online

For keeping track of our administration and accounting, we use the services of Exact Online. We share your name, address, and residence details, as well as information related to your order. This data is used for administering sales invoices. Your personal data is protected during transmission and storage. Exact Online is required to maintain confidentiality and will treat your data confidentially. Exact Online  does not use your personal data for purposes other than those described above.

Purpose of data processing by external sales channels

General purpose of processing

We use your data solely for the purpose of our services. This means that the purpose of the processing is always directly related to the assignment you provide. We do not use your data for (targeted) marketing. If you share data with us and we use this data to contact you at a later time - other than at your request - we will explicitly ask for your consent. Your data will not be shared with third parties, except to comply with accounting and other administrative obligations. These third parties are all bound to confidentiality based on the agreement between them and us or an oath or legal obligation.

Automatically collected data

Data that is automatically collected by our website is processed with the aim of further improving our services. This data (for example, your IP address, web browser, and operating system) is not personal data.

Cooperation in tax and criminal investigations

In certain cases, Cosmetique Totale may be required by law to share your data in connection with fiscal or criminal investigations by government authorities. In such cases, we are compelled to share your data, but we will oppose this within the limits that the law allows us.

Retention periods

We will keep your data as long as you are our client. This means that we will retain your customer profile until you indicate that you no longer wish to use our services. If you inform us of this, we will also interpret it as a request for deletion. Based on applicable administrative obligations, we are required to keep invoices with your (personal) data, so we will retain this data for as long as the applicable period lasts. However, employees no longer have access to your client profile and documents that we have created as a result of your assignment.

Your rights

Under the applicable Dutch and European legislation, you as a data subject have certain rights regarding the personal data processed by or on behalf of us. We explain below what these rights are and how you can invoke these rights. In principle, to prevent misuse, we only send copies and duplicates of your data to your email address already known to us. In the event that you wish to receive the data at a different email address or, for example, by post, we will ask you to identify yourself. We keep a record of processed requests, and in the case of a forget request, we record anonymized data. You will receive all copies and duplicates of data in the machine-readable data format that we use within our systems. You always have the right to file a complaint with the Data Protection Authority if you suspect that we are using your personal data incorrectly.

You always have the right to access the data that we (have) processed and that relates to you or can be traced back to you. You can make a request to this effect to our contact person for privacy matters. You will receive a response to your request within 30 days. If your request is granted, we will send you a copy of all the data we have on the email address we have on file, along with an overview of the processors that hold this data, indicating the category under which we have stored this data.

Right of rectification

You always have the right to have the data that we (have) processed and that relate to your person or can be traced back to you, adjusted. You can make a request to that effect to our contact person for privacy matters. You will receive a response to your request within 30 days. If your request is granted, we will send you a confirmation to the email address we have on file that the data has been adjusted.

Right to restriction of processing

You always have the right to restrict the processing of data that we (have) processed relating to your person or that can be traced back to you. You can make a request to that effect to our contact person for privacy matters. You will receive a response to your request within 30 days. If your request is granted, we will send you a confirmation to the email address we have on file that the data will no longer be processed until you lift the restriction.

Right to transferability

You always have the right to have the data that we (have) processed and that relates to your person or can be traced back to you, executed by another party. You can make a request to this effect to our contact person for privacy matters. You will receive a response to your request within 30 days. If your request is granted, we will send you at the email address known to us copies or excerpts of all data about you that we have processed or that has been processed on our behalf by other processors or third parties. In such a case, we will likely no longer be able to continue the service, as the secure connection of data files can no longer be guaranteed.

Right of objection and other rights

You have the right to object to the processing of your personal data by or on behalf of Cosmetique Totale in certain cases. If you object, we will immediately cease the data processing pending the handling of your objection. If your objection is justified, we will provide you with copies and/or excerpts of data that we process (or have processed) and then permanently cease the processing. You also have the right not to be subjected to automated individual decision-making or profiling. We do not process your data in such a way that this right applies. If you believe this is the case, please contact our privacy officer.

Google Analytics

Cookies are placed on our website by the American company Google as part of the "Analytics" service. We use this service to track and report on how visitors use the website.
